This policy explains what personal information HFC Fuels collects through this website, why we collect it, who we share it with, and what you can ask us to do about it. It is written to meet our obligations under South Africa's Protection of Personal Information Act, 2013 (POPIA).

This policy covers the public website at hfcfuels.co.za. The HFC ordering platform at app.hfcfuels.co.za handles account and transaction data under its own terms, which you agree to when you open an account.
2. What we collect
Information you give us
When you apply, request a price, call, email or message us on WhatsApp, you choose what to send. That typically includes your name, company name, email address, phone number and details about your fleet or fuel requirement.
Information collected automatically
When you browse this site, our analytics and advertising tools record technical information about the visit: your IP address, approximate location derived from it, device and browser type, the pages you view, how long you stay, which buttons you click, and the site or advert that referred you.
3. Cookies and tracking
This site uses cookies and similar technologies from two third parties. Both are set as soon as you open the site.

- Google Analytics: install Google's browser opt-out add-on.
- Meta: adjust your ad preferences in your Facebook or Instagram account settings.
- Most browsers also offer a "Do Not Track" or tracking-protection setting.
Blocking these does not affect your ability to use the site, apply, or contact us.
4. Why we may process your information
- To answer your enquiry and give you a diesel price.
- To open and administer your account if you apply.

- To measure and target our advertising.
- To meet legal, tax and record-keeping obligations.
We rely on your consent for advertising and analytics cookies, on the steps needed to enter into or perform a contract with you for enquiries and accounts, and on our legitimate interests in running and improving the business, balanced against your privacy.
5. Who we share it with
We share personal information only where we need to:
- Service providers who run this site and our systems on our behalf, including website hosting, analytics and advertising platforms. They may process the information only on our instruction.
- Depots on the HFC network, where an order needs to be fulfilled, and then only the details required to complete that fill.
- Authorities, where the law requires it.
6. Information sent outside South Africa
Google and Meta process the analytics and advertising information described above on servers outside South Africa, including in the United States and the European Union. Section 72 of POPIA permits this where the recipient is bound by rules or contractual terms that provide an adequate level of protection. Both providers operate under data processing terms of this kind, which form part of our agreements with them.
7. How long we keep it
Enquiry and account records are kept for as long as you are a customer and thereafter for the period required by South African tax and company law. Website analytics and advertising data are retained according to the providers' standard retention periods, after which they are deleted or aggregated so you cannot be identified.
8. How we protect it
This site is served over an encrypted connection. We apply reasonable technical and organisational measures to protect personal information against loss, unauthorised access and misuse, and we require the same of the providers who process it for us.
9. Your rights under POPIA
You have the right to:
- Ask what personal information we hold about you, and get a copy.
- Ask us to correct or delete information that is wrong, misleading, or no longer needed.
- Object to processing based on legitimate interests, and to direct marketing.
- Withdraw consent at any time, without affecting anything done before you withdrew it.
- Complain to us, and to the Information Regulator.
